Tax debt guide

Self-employment and estimated tax: organize the moving parts

Organize self-employed income and payment records so current taxes can be discussed alongside an older IRS balance.

An old tax balance can be difficult to address while new obligations keep arriving. For self-employed people, a useful first step is to make current income and payments visible.

Separate business cash flow from the tax calendar

Make a monthly record of receipts, business costs, transfers to yourself, and tax payments. Keep estimated payments in their own category with the tax period and confirmation. A transfer to a savings account is money set aside; it is not evidence of a tax payment.

The IRS explains that estimated tax may be needed for income not covered by withholding. Review the current guidance and discuss your expected income with a qualified professional rather than using last year’s payment amount without review. IRS estimated tax guidance ↗

Track changes that affect the estimate

  • A new contract or a major contract ending.
  • Seasonal revenue or delayed customer payments.
  • A change in business expenses.
  • Other household income and withholding.
  • Payments already made for the current year.

Bring dates as well as amounts. A large receipt late in the year tells a different story from the same amount earned evenly across the year. Keep any calculation you use with the records supporting it so it can be reviewed later.

Discuss old debt and current compliance together

When talking about a payment arrangement for prior years, explicitly ask how current tax obligations fit into the cash-flow plan. A monthly debt payment should not be evaluated in isolation from the rest of the tax calendar.

A sole proprietor or independent contractor generally applies for an IRS payment plan as an individual, according to the IRS online application guidance. IRS payment plan application ↗

Republic Tax is the separate provider reached by this site’s tax relief number. Ask whether advice about current estimated taxes is included in the engagement or requires your regular preparer. Write down which person is responsible for each task so nothing falls between the two.

Three questions to take with you

  • Which payments belong to this year?
  • How should variable income be reviewed?
  • Who handles current tax planning during resolution work?
